In longer writing, a pronoun may point to a noun, a group of people, or an entire preceding situation. Clear referencing helps the reader follow those relationships without guessing.
Reference and logical connection do different jobs
A referring expression identifies something already mentioned or about to be explained. A connector such as however or therefore expresses a relationship between ideas, such as contrast or consequence.

A connector cannot repair an unclear pronoun by itself. First identify what the reader should understand, then choose a connector only if that logical relationship is supported.
Give a pronoun a clear antecedent
An antecedent is the expression that a pronoun refers back to. “The manager spoke to the analyst after she checked the figures” is ambiguous if either person could be she.
Repeat the noun when it resolves a real ambiguity: “After the analyst checked the figures, the manager spoke to her.” Repetition is useful here because it protects the meaning.
Pronoun number should also fit its reference. “The results were inconsistent. They need further investigation” clearly connects they with results. If you mean the inconsistency itself, “This inconsistency needs further investigation” is more precise.
Use this plus a specific noun
An unsupported this can force the reader to decide whether you mean an action, result, problem, or whole paragraph. Adding a noun often narrows the reference without repeating everything.
Compare “The two groups used different instructions. This affected the comparison” with “The two groups used different instructions. This difference in instructions affected the comparison.” The second version makes the cause explicit.
Useful nouns include result, difference, decision, approach, limitation, and increase. Select the noun that matches the evidence; do not call something a result if it is merely a suggestion.
Which can refer to a whole preceding clause
“The shipment arrived two days late, which disrupted the installation” uses which to refer to the late arrival as a situation. It does not mean that the shipment itself is a disruption.
Compare “The shipment, which contained replacement parts, arrived late.” Here the relative clause describes the noun shipment. Commas and clause position help show the relationship, but the content must still make the intended reference clear.
When a whole-clause reference could be misread, use a new sentence with a named subject: “The shipment arrived two days late. This delay disrupted the installation.” That version is especially useful when the preceding sentence contains several possible causes.
Improve a paragraph step by step
The following example is fictional and concerns a workplace report. Read the first version and identify the unclear relationships before comparing the revision.
The team introduced an online form and a new approval process. This was difficult for staff. They changed it after a week, which helped.
This, they, it, and which all require guesses. The reader cannot tell whether the form, the process, or both caused difficulty, or who made the change.

The revision names the problem, the actor, the change, and the outcome. It also explains the connection instead of relying on a vague final helped.
Keep reference separate from evidence
A clear sentence can still make an unsupported claim. “This improvement proves that the method is effective” overstates the evidence if the paragraph describes only one informal observation.
Use wording proportionate to the information available: “This observation suggests a possible benefit, but a larger comparison would be needed to evaluate the method.” The reference is clear, and the sentence states the limit of the conclusion.
Practice: make the connection explicit
Rewrite the sentences so that the intended meaning is unambiguous. More than one revision can work if it preserves the facts given.
- “The lecturer spoke to the student after she read the draft.” The lecturer read the draft.
- “The office changed its opening hours. This confused visitors.” Replace this with a more specific subject.
- “The deadline moved twice, which frustrated the applicants.” What does which refer to?
- “The budget was reduced. However, the team cancelled the trip.” Replace however with a connector that presents cancellation as a consequence.
- “The survey and the interview produced different findings. It needs revision.” The survey needs revision.
- Combine these sentences using whole-clause which: “The server stopped working. This interruption delayed registration.”
Possible answers and explanations
- After the lecturer read the draft, she spoke to the student. The opening explicitly identifies the reader.
- The change in opening hours confused visitors. The noun phrase names the relevant event.
- The deadline moving twice. Which refers to the preceding situation, not to the applicants.
- The budget was reduced. Therefore, the team cancelled the trip. Therefore presents the stated result; however would signal contrast.
- The survey and the interview produced different findings. The survey needs revision. Repeating survey removes ambiguity.
- The server stopped working, which delayed registration. The relative clause refers to the failure of the server as a whole event.
