A resume and cover letter should tell a consistent story about your suitability for one job. Your resume presents relevant experience, education and skills; your cover letter explains why selected examples matter to this employer. Use the matching templates below to build both documents, then follow the completed examples and practical editing steps.
A matching resume and cover letter use consistent contact details, typography and facts, while doing different jobs. Keep the resume easy to scan and use the letter to connect one or two examples to the vacancy. Copy the text templates below into Word or Google Docs, replace the placeholders and follow the employer’s submission instructions.

Resume, CV and Cover Letter: What Is Different?
The documents should agree on the facts, but they do not need to use identical sentences. Think of the resume as an organised record and the letter as a focused explanation of your fit for this particular opportunity.
| Document | Purpose and use of evidence |
|---|---|
| Resume or standard job CV | Organises relevant experience, education and skills. Gives job titles, dates and concise examples of your contribution. |
| Cover letter | Explains your interest in the role and develops selected evidence from your experience, connecting it to the employer’s needs. |
| Academic CV | Records academic work such as research, teaching and publications. Academic applications may require a different letter structure and additional documents. |
UK employers commonly call the standard job application document a CV. In the US, “CV” often refers to an academic document. Our UK CV vs US resume guide explains the distinction in more detail.
For an ordinary job application, aim for a focused cover letter of no more than one page unless the employer asks for something different. The National Careers Service suggests three to five paragraphs and consistent fonts across the letter and CV. If the vacancy says not to include a letter, follow that instruction.
Copyable Resume and Cover Letter Templates
Copy these text templates into your document editor. Replace every bracketed field, remove sections that do not apply and use the same contact block on both documents. Keep a reusable master copy, then save a separate version for each application.

Read the finished letter aloud after replacing the fields. Combine sentences if they repeat the same point, and remove any wording you cannot support with an example. If you do not know the recipient’s name, “Dear Hiring Manager” is a practical fallback; do not guess a name or title.
For a traditional UK letter, “Yours sincerely” normally follows a named greeting, while “Yours faithfully” follows “Dear Sir or Madam”. See our guide to sincerely and faithfully for examples.

Matching Cover Letter Example
MAYA PATEL
Manchester, UK · maya.patel@example.com
27 September 2026Hiring Team
Northbridge SoftwareDear Hiring Manager,
I am applying for the Customer Support Coordinator position at Northbridge Software. My three years of experience in email support have involved explaining account processes clearly and helping colleagues improve the information available to customers.
At Alder Learning Services, I noticed that several recurring enquiries concerned steps that were difficult to find in our help centre. I reviewed the questions with the support team and rewrote 12 articles to make the instructions easier to follow. I also prepare a weekly summary of account issues for product colleagues, including the steps needed to reproduce a problem where possible.
Your vacancy’s emphasis on help content and cooperation with the product team closely matches this work. I would bring practical experience of turning customer questions into clearer guidance, alongside regular experience supporting customers by email.
Thank you for considering my application. I would welcome the opportunity to discuss how my support and documentation experience could contribute to your team.
Sincerely,
Maya Patel
Why the two documents work together
The resume makes Maya’s relevant responsibilities easy to find. The letter adds context to the help-article example and connects it to the vacancy. It does not repeat every bullet, claim that Maya managed the product team or invent a percentage improvement in customer satisfaction.
This approach follows MIT’s cover letter guidance: select relevant experiences and explain the connection to the role. If you have no measured result, describe the work accurately rather than adding a number to make it sound impressive.
How to Adapt Both Documents to a Job Advert
Start with the work the employer needs someone to do. Identify two or three central requirements, then find an example from your experience for each one. The Europass cover letter guide recommends connecting your examples to the specific vacancy.
| Vacancy requirement | How Maya uses the evidence |
|---|---|
| Answer customer emails clearly | The resume states her daily email-support responsibilities. The letter introduces her experience explaining account processes. |
| Improve help content | The resume records 12 revised articles. The letter explains how recurring questions helped her identify unclear instructions. |
| Work with product colleagues | The resume lists weekly issue summaries. The letter connects that reporting experience to the advertised collaboration. |
Turn a generic claim into a useful example
Before: “I am a hardworking professional with excellent communication skills and a passion for success.” This gives the reader little evidence to assess.
After: “I explain account-access steps in customer emails and prepare weekly issue summaries for product colleagues. These responsibilities match your need for clear customer communication and internal reporting.” The revised version names relevant work and explains its connection to the role.
Use the job advert’s terminology when it accurately describes your experience. If the vacancy asks for a tool you have never used, do not add it to your skills section. Mention a related tool or relevant learning only when you can describe it truthfully.
Student and First-Job Applications
Without paid work experience, use relevant coursework, student societies, personal projects or volunteering. Label these activities clearly so the reader understands the setting. A project can demonstrate organisation or writing skills without being presented as employment.
A matching entry-level example
Illustrative resume entry:
Student Welcome Project, University Society
Volunteer, September 2025Prepared joining instructions for new members, answered event questions by email and maintained the attendance spreadsheet.
Matching cover letter for an Administrative Assistant role:
Dear Hiring Manager,
I am applying for the Administrative Assistant position. Through a university society’s welcome project, I gained experience preparing written instructions, answering email enquiries and maintaining an attendance spreadsheet.
I helped new members understand how to join events by organising the practical information in one place. I also checked the attendance records and updated them when plans changed. These tasks relate to the communication and record-keeping responsibilities in your vacancy.
I am interested in a role where I can use these skills to support the team’s daily administration. Thank you for considering my application. I would welcome the opportunity to discuss my contribution to the project and my interest in the position.
Sincerely,
[Your full name]
The example focuses on useful evidence without opening with an apology about limited experience. In your own version, add the employer’s name and a specific reason for choosing that opportunity. Our CV example directory offers other starting points.
Career Changes and Employment Gaps
A career change letter should help the reader understand how your previous work relates to the new role. Keep your actual job title on the resume, then explain transferable skills in the letter. A retail role should not become a project management role simply because some duties overlap.
Illustrative resume bullet: “Coordinated shift handovers and trained new colleagues on order tracking and customer returns.”
Matching paragraph for an Operations Assistant application:
In retail, I coordinated shift handovers and helped new colleagues follow order-tracking procedures. This experience required accurate records, clear explanations and timely updates when priorities changed. I am now seeking an operations role where I can apply those skills to the scheduling and administrative responsibilities described in your vacancy.
If you are returning after a gap, keep dates consistent across both documents. You can briefly explain relevant recent learning or activities, but avoid adding personal details that do not help the application. A sentence such as “After a career break, I am returning to administration and have refreshed my spreadsheet skills through a practical course” is suitable only when it accurately describes your situation.
Academic applications need a different emphasis on research, teaching or institutional fit. Consult the vacancy and the Harvard guide for PhD applicants before adapting a general business letter.
Clear English for Resumes and Cover Letters
Professional English should be specific and easy to understand. Choose verbs that describe what you actually did, such as “prepared”, “checked”, “resolved” or “coordinated”. The Harvard career writing guide recommends active, factual language and avoiding unnecessarily elaborate wording.
| Wording to revise | Clearer version |
|---|---|
| I am applying to the position. | I am applying for the Customer Support Coordinator position. |
| I have three years experience. | I have three years of experience in customer support. |
| I was responsible of customer emails. | I was responsible for customer emails. |
| I am a perfect candidate. | My experience writing help articles matches your documentation requirements. |
| I look forward to hear from you. | I look forward to hearing from you. |
| Please find my CV in the attachment. | I have attached my CV for your review. |
Use different sentence styles where appropriate
Resume bullets usually begin with an action verb and omit “I”: “Prepared weekly stock reports using Excel.” In the letter, use complete sentences: “Preparing weekly stock reports taught me to check figures carefully and explain discrepancies to colleagues.” Both statements should describe the same real work.
Describe your English level accurately
Keep your language description consistent across the application. If you include a tested level, state the test and date where relevant; if it is a self-assessment, identify it as such. Practical descriptions such as “Used English daily for customer emails and team meetings” can add context when true.
Our guide to listing English on a resume explains how to present language skills. An English test result measures the skills covered by that assessment; it does not proofread your application.
Formatting and Final Submission Checks
Use the same font family, readable body size and contact details on both documents. A plain, single-column layout is a practical starting point, with standard section headings and enough white space to separate information. The cover letter can match the resume’s visual style while remaining a letter with paragraphs.
Word, Google Docs, PDF and application portals
Keep an editable version in Word or Google Docs, then submit the file type the employer requests. If PDF is accepted, open the exported file and check page breaks, line spacing and selectable text. If DOCX is requested, send DOCX; no format is the correct choice for every application.
Where a portal extracts information from your resume, check the populated fields before submitting. A simple layout may make that review easier, but no template can guarantee how every applicant tracking system will read a document. For a plain-text form, paste the relevant text and inspect the paragraph breaks.
Final checklist
- Replace all placeholders and check the employer’s name, job title and reference number.
- Make contact details, dates, qualifications and responsibilities agree across both documents.
- Support each claim with your own experience and remove copied example figures.
- Check grammar, spelling, page breaks and links in the actual files you will send.
- Use clear file names, such as Maya_Patel_Resume.pdf and Maya_Patel_Cover_Letter.pdf, with the correct file extension.
- Attach separate files or combine them according to the application instructions.
Read the first and last paragraphs once more before submitting. These are common places to leave an old company name or a closing that refers to a different role.

Email Template for Sending Your Application
If the employer asks for a resume and cover letter as attachments, keep the email brief. State the vacancy and identify the attached documents. Use any subject line specified in the advert; otherwise, the pattern below is a clear starting point.
Subject: Application for [Job Title], [Reference Number if provided] | [Your Full Name]
Dear [Recipient’s name or Hiring Team],
Please find attached my resume and cover letter for the [Job Title] position at [Employer].
Thank you for considering my application. I would welcome the opportunity to discuss my relevant experience.
Kind regards,
[Your full name]
[Phone number]
If the employer asks for the cover letter in the email body, paste the tailored letter there instead of this short message. Remove the postal address block if it is unnecessary, and attach the resume as requested. Check that the attachments are present before sending.
Practice: Check the Pair Before You Apply
Review these situations as if you were preparing your own application. Decide what needs changing, then compare your answers with the explanations below.
- The resume says “supported two new advisers”, but the letter says “managed the support department”. What should you check?
- A qualification is listed as “expected June 2027”. Can the letter describe it as already completed?
- The letter repeats every resume bullet in the same order. How could you improve it?
- The employer asks for a DOCX resume and a cover letter in the email body. Should you send one combined PDF?
- Your example template includes a 20% improvement that you cannot verify. What should you write instead?
- Correct this closing sentence: “I look forward to discuss my application with you.”
Answers and explanations
1. Check the actual responsibility. Supporting colleagues is different from managing a department. Use wording that reflects the same truthful contribution in both documents.
2. No. State the expected completion date consistently. A qualification in progress should not become an awarded qualification in the letter.
3. Select the most relevant evidence. Develop one or two examples and explain their connection to the vacancy. Let the resume provide the fuller record.
4. No. Attach the requested DOCX resume and put the cover letter in the email body. Follow the employer’s instructions even if your saved template uses another format.
5. Describe a result you can support, or describe the work itself. For example, “Reorganised the help articles by topic after reviewing recurring customer questions” gives useful context without a fabricated percentage.
6. “I look forward to discussing my application with you.” In “look forward to”, the word “to” is a preposition, so it is followed here by the -ing form.
Frequently Asked Questions
Should a resume and cover letter match exactly?
They should match in contact details, facts and overall visual style. Their wording should serve different purposes: the resume summarises relevant evidence, while the letter explains your interest and develops selected examples.
How long should a cover letter be?
For a standard job application, keep it to one page with short, readable paragraphs unless the employer gives different instructions. Academic letters or applications requiring detailed selection criteria may need another approach.
Can a cover letter replace a resume?
Not when the employer requests a resume or CV. Provide the documents listed in the vacancy. A letter does not usually contain the full employment and education record the employer needs.
Are these downloadable Word templates?
These are text templates that you can copy into Word, Google Docs or another editor. No file download is needed. Replace the placeholders, format the documents consistently and check the finished files before submitting.
Must every application include a cover letter?
Include one when requested. If it is optional, consider whether it adds relevant context, such as why you are changing careers or how a project matches the role. If the employer explicitly asks you not to include one, respect that instruction.
Should I combine my resume and cover letter into one PDF?
Follow the submission instructions. Use separate files when the portal provides separate upload fields, and combine them only when requested or appropriate to the stated process. Check the file order and page breaks if a combined document is required.
Can I use AI to help write my application?
You can use a writing tool to suggest structure or clearer wording, subject to any employer instructions. Check every statement against your own experience, remove invented details and revise the language so you can explain it naturally in an interview. Avoid entering confidential employer information into a tool without permission.
Will using a template guarantee an interview?
No. A template helps organise your application, but the examples here do not demonstrate a hiring outcome. The useful work is choosing accurate evidence, connecting it to the vacancy and submitting a clear, complete application.
